I confess that (perhaps like you) I put on a brave smile on social media while underneath feeling frazzled. Every day I seem to get more communication streams flowing into my business - more emails, more instant messages, more newsletters, more Facebook posts, more LinkedIn status updates and more tweets. It feels overwhelming to sift through this volume of information; What news is valuable? Who is a potential prospect? How do I avoid slipping down that social media rabbit hole of interesting tidbits – only to find two hours later, nothing important has been done?

To keep myself focused and limit my precious time, I have a system that I have borrowed from wise business owners who are getting results:

  1. Set up a weekly system. Each Monday morning after posting my blog post, I immediately develop 5-10 tweets or little teasers to link followers back to my article. For example, if I have 5 tips I write 5 tip summaries with a link to the post for more. I then schedule these posts every day at popular hours using a social media scheduling system like Hootsuite.
  2. My two rules for tweet writing: 1) Be interesting and fun. And 2) don’t say it all in 140 characters. You want followers to click through for more.
  3. Classify your followers.All followers are not equal (at least in terms of value to your business). I classify my followers into a few categories (using Hootsuite columns as a useful tool):
      • Influencers: These are people that are thought leaders in my field and/or their writing helps me with inspiration.
      • Prospects: These are people/companies that are potential clients. Via Twitter I can keep abreast of what is going on and keep up a supportive relationship by retweeting their content.
      • Clients: Nothing is more indicative of a good client relationship than being on top of the latest news, product launches, etc. of a client.
      • Partners: These are companies that usually serve my same market and/or help my business via their services. By supporting them, I learn about other fields and build a strong support base.
      • Others: Everyone else.
  4. Quick but regular daily reviews. I scan this list a few times a day spending limiting myself to 5-15 minutes! I use Nutshell email to deliver the latest tweets from these lists directly to my inbox at 9:00am, noon and 3:00pm so I can quickly scan and respond.
  5. Alerts for direct messages. I set up alerts so any retweet or mention gets texted to my phone. That way I can thank and respond immediately.
